Parent Board Position and Responsibilities
In addition to the specific duties outlined below, each Parent Advisory Board position must:
- Maintain a notebook of his/her activities for the year, to be passed on at the end of their elected term.
- Be available to help with Parent Orientation and other Parent Advisory Board sponsored events.
Director
- Permanent member without a vote.
- Act as liaison between Parish, Parent Advisory Board and Preschool.
- Act as liaison along with President, to our sister school, St. Francis Fillmore Preschool.
- Run meetings in the absence of the President and Vice President of Community Relations.
President
- Full member without a vote, except in the event of a tie.
- Call and moderate Parent Advisory Board meetings.
- Review meeting agenda with Director.
- Act as liaison between Parent Advisory Board and Director.
- Provide guidance and support to other Parent Advisory Board members.
- Plan year-end teacher appreciation event.
- Act as liaison along with Director, to our sister school, St. Francis Fillmore Preschool.
- Select Parliamentarian.
- Establish communication with Parish Administrator.
- Make Parent Advisory Board applications available at the time of election.
Vice President of Community Relations
- Full member with one vote.
- Run meetings in President's absence.
- Along with Social Secretary, responsible for Parent Orientation and other social or community building events.
- Provide a current copy of bylaws, upon request, and at all Parent Advisory Board meetings. Keep computer disk of bylaws for future revisions.
- In conjunction with the Director, create and maintain calendar of events. Submit to Parent Advisory
- Board on a monthly basis.
- Coordinate President's legacy gift.
Vice President of Enrichment
- Full member with one vote.
- Investigate student, parent and teacher enrichment opportunities.
- Report on student and parent enrichment ideas to Director to be presented to the Parent Advisory Board for approval.
- Arrange for and oversee student and parent enrichment programs approved by the Director and the Parent Advisory Board.
Vice President of Fundraising
- Full member with one vote.
- Head a committee of 4-6 people to manage perspective fundraising events.
- Present preliminary fundraising plan to the Director and Parish Administrator for approval. Present final fundraising plan to Parent Advisory Board at September Parent Advisory Board meeting for final approval.
- Oversee that each fundraiser is running according to schedule and coordinate committee meetings as needed.
Treasurer
- Full member with one vote.
- Keep an accurate record of monies raised and spent by the Parent Advisory Board.
- Report on finances at each Parent Advisory Board meeting.
- Oversee deposits and reimbursements with Director.
- Prepare financial report to be distributed to Parent Advisory Board and parents twice a year.
- Work with Parent Advisory Board members to evaluate annual monetary needs and establish a budget prior to the September Parent Advisory Board meeting.
Recording Secretary
- Full member with one vote.
- Take roll at each meeting.
- Take and distribute minutes at Parent Advisory Board meetings.
- Maintain current, amended and approved copies of minutes for current term of office at all Parent Advisory Board meetings.
- Responsible for historical minutes.
- Maintain Parent Advisory Board inventory list.
Social Secretary
- Full member with one vote.
- Keep up-to-date Parent Advisory Board roster and distribute to the Parent Advisory Board.
- Notify board of time and place of next meeting.
- Correspond on behalf of the Parent Advisory Board as directed.
- Maintain a list of volunteers to receive thank you gifts for distribution on an annual basis.
- Responsible for Parent Orientation along with Vice President, and other social or community-building events.
- Set up social activities for Parent Advisory Board.
- Set up dinners for Mothers-in-Need.
Room Parent Chair
- Full member with one vote. 2. Solicit and select 2-3 Room Parents for each class.
- Create and maintain a notebook for Room Parents.
- Communicate roles and responsibilities to Room Parents by means of a meeting to be held at the beginning of the school year.
- Liaison with Room Parents to help disseminate information and enlist their help when needed.
- Advise and assist Room Parents as necessary.
- Coordinate Teacher Appreciation Week.
- Coordinate gifts to Director and Teacher Aides throughout the year.
Current Events Coordinator
- Full member with one vote.
- Maintain upkeep of photographic equipment and supplies.
- Take pictures throughout the year.
- Post pictures throughout the year for parents, students and parish to view.
- Assist other Parent Advisory Board members in publicizing their events and programs to parents, teachers and media as necessary.
Fundraising Coordinators
- Four to six elected members each with one vote.
- The elected members, along with the Vice President of Fundraising, will meet monthly to determine and work on fundraising goals and events.
- Each member will oversee the administration of the fundraisers.
Health and Safety Coordinator
- Full member with one vote. 2. Coordinate enrichment programs relating to health and safety.
- Coordinate with Room Parents the use of a telephone tree for emergency evacuations.
- Keep earthquake supplies up-to-date.
- Check fire extinguisher recharge dates. Inform Director of findings.
Media Coordinator
- Full member with one vote.
- Assist Director in production of monthly newsletter.
- Update and maintain preschool web pages
- Responsible for all church bulletin inserts as well as verbal announcements.
Parliamentarian (Appointed for existing members)
- Current member appointed by the President.
- Assist President in presiding over parliamentary procedures and keeping meetings on track.
- Responsible for presiding over all vacancies on the Parent Advisory Board.
- Serve as Chair of the Nominating Committee at election time, provided they are not seeking a second term.
